MyOutDesk places managed virtual assistants for SMB and enterprise teams, covering everything from sales talent to customer service reps to executive assistants. The company recently opened a nearshore talent hub in Peru to widen that pool. Marketing runs on a small team. Jasen leads CX operations and content, Steve runs growth and demand gen, Alvin handles technical marketing operations, and Jayson Lindsley (JL) owns data, security, and the Salesforce integration.

The business runs on speed. When a lead comes in, MyOutDesk works it hard, with calls, texts, and emails going out daily for roughly 20 days. For their audience, that persistence converts. The whole model leans on the first touch. The SDR team is graded on how fast a new lead gets a call, and the target lands around 15 minutes.

Built for Speed, Slowed by the Stack

The pipeline feeding that machine had grown into a patchwork. Marketo held the database, the emails, the forms, and the ad audiences, and the team had stopped getting anything out of it. The interface had not changed in years, building an email was slow, and graphics kept breaking the margins. When Marketo forms failed, and they did, the team had bolted on Fillout as a backup, wired through n8n to inject UTM and click-ID data. Landing pages lived in Instapage.

Scoring and enrichment lived somewhere else again. Jasen had built an elaborate set of Clay tables that researched each company, scored how serious a business it was on a 25-point scale, and wrote a summary back to Salesforce. Routing ran through ChiliPiper and Salesloft. Salesforce sat underneath as the system of record, with a quirk of its own. Accounts only got created once a deal closed, so the team worked leads, not accounts.

Every handoff between those tools was a place a lead could stall or slip through. For a team measured in minutes, that was the real cost.

One Engine Instead of Six

Coming off Marketo, MyOutDesk wanted an AI-native platform that could do the enrichment, scoring, personalization, and routing the team had been assembling by hand, then write clean data into Salesforce. On the first call, the plan went up on a whiteboard. Conversion as the ingestion engine that captures, cleans, enriches, scores, nurtures, and segments, then hands clean records to Salesforce.

What stood out was the team as much as the product. Jasen had been burned before by tools that demoed bigger than they delivered.

Nothing Goes Live Until the Pipes Are Provable

For a team whose model depends on reaching a lead inside 15 minutes, the pipeline has to be observable end to end. That bar belonged to Jayson Lindsley (JL). He owns data, PII, and the company’s SOC 2 work, and he had scoped down Salesforce permissions after the Salesloft breach made him cautious about every integration. His requirement was plain. Before any platform could be the entry point for live leads, the team needed to see every sync and be alerted the moment one failed.

“If a lead doesn’t reach Salesforce, I want to know the second it happens. Once I could see every sync and get alerted on the rare miss, making Conversion the front door for every lead was an easy call.”

Conversion built bidirectional Salesforce sync with sync logs to meet that bar. A Sync Health view shows records created, updated, skipped, or failed, with the error reason on each, plus a daily Salesforce API cap so heavy workflow runs cannot blow through the org’s limits. That gave JL the observability his policy called for, on the integration that mattered most.

Rebuilding the Engine Around the 15-Minute Window

With the pipeline observable, Jasen rebuilt the inbound flow from scratch around the clock. A new lead fills out a Conversion form and gets a first enrichment pass stored in Conversion right away. A short delay gives the lead a chance to self-book a meeting from the confirmation page before any outreach fires. The lead is scored, checked against Salesloft to see if they are already in a sequence, then either left alone or sent a personalized email with a booking link.

JL set a timer in Salesforce that holds each new lead out of the SDR queue for 15 minutes, giving marketing a window to land a self-booked meeting first. Everything in the flow is built to fit inside that window.

Speed shaped even the plumbing. The team wired the flow to pull a lead’s owner and status on demand, so every record is current at the moment the workflow acts on it.

Moving the Scoring Brain In-House

The piece Jasen most wanted to move was the enrichment and scoring he had built in Clay. He rebuilt his enrichment table inside Conversion workflows using AI enrich nodes, running a fast first-pass enrichment in the platform, scoring how serious a business each lead is, then generating personalized email copy off the result. The plan is two scores working together, one for how good a fit the business is and one for engagement.

What They’re Building Next

The next build points the platform’s AI at the team’s own knowledge. MyOutDesk’s GTM content team works in Notion, where the messaging, positioning, and proof points live. Jasen wants that workspace wired into Conversion as a context layer. The AI that writes snippets and runs enrichment inside workflows would then pull from the team’s best content on its own, rather than waiting to be hand-fed. The agent stops guessing and starts drawing on what the content team already knows.
