How Conversion works with Wistia

Conversion connects to Wistia with an API token and syncs its webinars with Wistia webinars, so registrations flow both ways and attendance comes back. Registrations made from Conversion confirm immediately with the person's join link, while sign-ups on the Wistia event page are imported by a daily sync. Within an hour of the session ending, members move to Attended or No Show, with join time and watch time recorded for attendees, and a linked Salesforce campaign receives the same statuses.

Join links right away

Wistia confirms registrations from Conversion immediately, so a confirmation email placed after the Update Campaign Member step can include each person's join link.

Daily import of page sign-ups

Wistia doesn't notify Conversion when someone registers on its event page, so those sign-ups arrive on a daily sync, matched to contacts by email.

Attendance with watch time

Conversion checks Wistia on a schedule after each session and records when every attendee joined and how long they watched, so follow-ups can branch on attendance.

Statuses in Salesforce

Link the webinar to a Salesforce campaign and registrations and attendance from Wistia reach its campaign members, while changes made in Salesforce flow back.

What syncs

How to connect Wistia

  1. 1 Ask your Wistia Account Owner to create an API token with Read all data and Read, update & delete anything. Wistia shows the token only once, so copy it right away.
  2. 2 In Conversion, open Settings > Integrations, click Connect on Wistia, and enter the token. Conversion validates it before saving.
  3. 3 Open a Conversion webinar, click Connect on the webinar platform card in the Overview tab, and select the Wistia webinar before the session ends.
  4. 4 Register members by moving them to Registered, by hand on the Members tab or with the Update Campaign Member workflow step.

An API token with two permissions, Read all data and Read, update & delete anything. Conversion uses the second to register your contacts on the webinar. Only the Wistia Account Owner can create tokens, and your Wistia plan must include webinars. Webinars are also enabled per workspace in Conversion, so if you don't see Webinars in the sidebar, ask your account team to turn them on.

Wistia requires a first name and a last name to register someone, so contacts missing either are set to Registration Error. A missing or invalid email, or a webinar that has already ended, has the same result.

Registrations made from Conversion confirm immediately, join link included. Sign-ups on the Wistia event page arrive on a daily sync, because Wistia doesn't notify Conversion about them. Attendance appears within an hour of the session ending.

Yes, when the Conversion webinar is linked to a Salesforce campaign. Registrations and attendance from Wistia are pushed to the Salesforce campaign members, and changes your team makes in Salesforce flow back into Conversion.
